Collect Signed Consents

Collecting signed consents is a form job with a real constraint: every respondent has a different device, none of them will install software for you, and the completed form has to come back with its values intact. The sequence below builds the form once and then lets every respondent fill it in a browser tab — no account, no install, no upload.
The Job, in Order
Section titled “The Job, in Order”1. Build the form once. create a fillable PDF form — in your browser, free — lays out the fields the consent actually needs: name, date, the statement of consent, the signature spot. A well-built form is what turns “please print, sign, and scan” into a task people actually complete.
2. Share the page, not a pipeline. Respondents open the form’s page and fill a PDF form — in their browser, free. Nothing is installed, no account is needed, and the filled file exists on their device, ready to return to you.
3. Lock the values as each file comes back. Before you file a completed consent, flatten a PDF — in your browser, free — so the entered values are baked into the pages. A flattened file displays in any viewer, prints reliably, and cannot be edited by the next person who opens it.
4. Take signatures where the form needs them. For a simple signature, sign a PDF — in your browser, free, no upload. Where the process requires a qualified signature, sign a PDF with a digital certificate runs PAdES signing on the encrypted cloud path and uses plan quota. Tell respondents which one the process needs before they start.
Verify Each Returned File
Section titled “Verify Each Returned File”Open every returned consent and confirm the fields carry values and the signature sits where the form asks for it. Flattened files should show those values in any viewer you open them in — that check is what makes a stack of consents an actual record.
Frequently Asked Questions
Section titled “Frequently Asked Questions”Do respondents need an account or an install? Neither. The filling step is a browser page: they open it, complete the fields, and return the file. The form run itself creates no server-side copy of their data.
Where do the responses live? In each respondent’s browser and in the file they return to you — the local filling step does not upload anything. That is the privacy story you can tell respondents, and it is verifiable in the tool’s network behavior.
Can a respondent change a flattened form later? No — flattening is the lock. That is why it belongs on your side, after collection, not before the respondent fills the form.
Collecting consents at scale comes down to one design decision: build the form once, let every respondent fill it in a plain browser tab, and lock the values when they come back. No installs, no accounts, no uploads — and a completed stack that still reads correctly in any viewer.
Do It Directly
Section titled “Do It Directly”Ready to set up the collection? create a fillable PDF form with the fields the consent needs — in your browser, free. Share the page so respondents can fill a PDF form without installing anything, and as each completed file returns, flatten a PDF to lock the values. Where signatures are required, sign a PDF handles the simple case in the browser.
